Excel to PDF

Excel workbooks often contain multiple sheets with different layouts, data densities, and formatting styles. Converting these to PDF requires handling each sheet's unique characteristics while producing a cohesive document.

Converting All Sheets vs. Specific Sheets

By default, all worksheets in your workbook are included in the PDF output. To convert only specific sheets, use the "Worksheet Name or Index" setting and enter the sheet name (e.g., "Summary") or its index number (starting from 0). A 5-sheet workbook with 10,000 rows typically produces a 3-5 page PDF depending on column widths and print area settings.

Page Break Behavior

Excel's manual and automatic page breaks are respected during conversion. If your spreadsheet has custom page breaks set in Page Break Preview mode, those exact breaks carry over to the PDF. Without custom breaks, the converter uses the page scaling settings to determine where content splits across pages.

Print Area Settings

If a print area is defined in your Excel file, only that range converts to PDF. This is useful for large worksheets where you only need a specific data range. When no print area is set, the entire used range of each sheet is included.

Formula vs. Value Output

PDFs always show the calculated values of formulas, not the formula text itself. This means your PDF will display the final numbers, totals, and results exactly as they appear in your spreadsheet. Formula cells, VLOOKUP results, and pivot table values all render as their computed output.

Chart Rendering Fidelity

Embedded charts (bar, line, pie, scatter, and combination charts) are rendered as high-quality vector graphics in the PDF. Chart colors, labels, legends, and axis formatting are preserved. Charts on separate chart sheets each produce their own PDF page.

Edge Cases to Watch For

Some Excel features can produce unexpected PDF output: conditional formatting with color scales or icon sets may render differently, merged cells that span page breaks can split awkwardly, and pivot tables with expand/collapse groups are rendered in their current expanded state. For best results, review your print preview in Excel before converting.
